You are invited to bring your spouse or a guest of your choice to share in your success.  Please note that if your spouse/significant other is also a 100% qualifier, the expectation is that you would attend the trip together (rather than bringing guests).

RSVP and Activity Selection is Due 2/3/2018  

All activities will be booked on a first come first serve basis.

The 100% Club trip is designed and meant for you and your adult guest, and typically not age appropriate for children. For new parents who must travel with infants, the expectation is that you and your guest are in attendance for required meetings and that you will coordinate proper care arrangements to facilitate the requirements.

[fa icon="plus-square"] Can I come early or extend my trip?

If you would like to come early or extend your trip at The Resort at Pelican Hill, please email info@executivegrouptravel.com for availability. Please note that early arrivals/late departures are subject to availability, at your own expense, and considered PTO.

The discounted rate for the pre-arrivals for the Bungalow is $410++ (taxes/fees).  We have a limited number of post extensions at Pelican Hill but will do our best to confirm your requests.

If you would like to use one of your three sponsored activities for your pre/post extenstions then please email info@executivegrouptravel.com.

 

Can I extend my trip in an alternate destination?

Yes, you will be responsible for any additional hotel/airfare costs by extending your trip.

athenahealth is providing airfare round-trip from your office city to one of the three designated airports.  If you choose to add an additional stop on either way, we ask you to cover those additional costs.

Airport Transfers

For those traveling on March 22nd and March 25th athenahealth will cover the cost of transportation to/from the Pelican Hill.  Please refer to your individual itinerary for your designated method(s) of transportation. Some guests will be transported as part of a large group through Best VIP Chauffeured.  To avoid long wait times at the airport those arriving in smaller groups may use Uber/Lyft and expense your trip (when indicated on your individual itinerary).   Please read the instructions below for each method of transportation.  

 

Uber/Lyft:

LAX:

Lyft and Uber are authorized to provide pick-up services at LAX. Passengers can make a request once they are located on the terminal curbside.  Signs that state “Ride Service Pick-Up” are positioned on the Upper/Departures Level to facilitate the meeting point.

SNA:

Uber- Please request when you’re ready to walk outside.  Exit on the arrivals level, this is where all Uber drivers at SNA meet travelers for pickup.  Enter your terminal and column number in the app so your driver knows where to find you.

Lyft- After you land and grab your bags, open the app to find your pickup zone.  Once you're at the pickup zone, select your ride type and tap request.  Look for your driver near the pickup zone you selected.

For those using Uber/Lyft to the airport please keep in mind that traffic to LAX can be very heavy.  We recommend leaving 2 hours early for those heading to SNA and 3 hours early for those heading to LAX.  

 

*Always confirm that you are getting in the correct vehicle with the designated driver shown on the app.

From LAX:

All arriving passengers will be met in baggage claim upon arrival. There will be a staff person waiting for you holding an athenahealth sign.  Should you have trouble locating the staff person, please call 714-375-9128, ext. 2 for dispatch and they will assist you.

From Pelican Hill:

Please meet in the Main Lobby at the designated departure time on your itinerary.  Group transfers back to LAX leave approximately 3 hours before the first flight in you group departs.  

 

Other means of transportation (i.e. rental car) require approval from your manager in advance and must be coordinated on your own. Any non-approved means of travel will be at your own expense.

We have three scheduled mandatory events where all attendees will be together (listed below). All other activities are optional (but they look like a lot of fun!)

  • Thursday evening’s Welcome Event (all attendees)
  • Friday morning’s breakfast & Meeting (all attendees)
  • Saturday evening’s 100% Club Recognition Dinner (all attendees) 



[fa icon="plus-square"] Expense Report/Resort Credit Policy, Can we eat off property Friday night?

Yes to ensure an amazing experience we encourage you to explore what Newport Beach has to offer. 

For this evening, you can expense up to $100 per individual ($200 per couple) to cover your dinner out exploring the town.  If you choose to stay at Pelican Hill for dinner/drinks please abide by the same policy of expensing $100 per person for this evening.

For additional meals not organized by athena (daily breakfast & lunch), you will have $300 per person ($600 per room) of resort credit for on your Pelican Hill hotel room.  At check-out all expenses up to this amount will be paid by athena.  As mentioned above, you will also have an additional $100 per person or $200 per couple to expense through athena expense system.
 
We ask you do not expense any additional meals/drink during this program, other than meals while traveling.
[fa icon="plus-square"] What is the Dress Code?
Please be reminded that attire for the event is country club casual.  This includes the Thursday evening Welcome Reception and the Friday morning meeting.  We do recommend men bring a pair of long pants for dinners. For the Final Dinner Event on Saturday night dressy casual attire is requested.   Please pack a thin sweater or shawl for the evenings as it does tend to cool off after the sun sets.
[fa icon="plus-square"] If the itinerary changes, how will I stay updated?

There will be two options.

1.  All updates and changes will be communciated to you through email in a timely manner.  This means you should be using the hotel wi-fi once a day to check for any updates or special events added.

2.  We will have a daily athenahealth headquarters located on property at The Resort at Pelican Hill.  There will be a staff on hand to answer any questions each day.  Locations will be shared on this website once finalized.
